What data we collect
When you fill in a contact or booking form on this website, we collect:
- Your name
- Email address
- Phone number (if you provide it)
- Company name
- Website URL
- The message or details you choose to share
We may also hold data you share directly by email or during a call.
Why we collect it and our legal basis
We collect this data to:
- Respond to your enquiry
- Arrange and prepare for a strategy call
- Provide marketing services if you become a client
Our legal basis is legitimate interests — we have a genuine business interest in following up on enquiries from people who have contacted us. For active clients, processing is necessary to perform a contract.
We will never add you to a marketing list without your explicit consent.
Who we share your data with
To run the business we use the following third-party tools, which may process your data as part of their service:
| Tool | Purpose | Data location |
|---|---|---|
| Netlify | Website hosting and form submissions | USA — covered by Standard Contractual Clauses |
| Google (Gmail, Drive, Analytics) | Email, document storage, website analytics | USA — covered by Standard Contractual Clauses |
| Cal.com | Booking and meeting scheduling (on the booking page) | European Union |
| Notion | Business notes and records | USA — covered by Standard Contractual Clauses |
All third-party processors are bound by their own terms and data protection commitments. We do not sell your data to anyone.
International transfers
Several of the tools we use are based in the USA. Where personal data is transferred outside the UK, we rely on Standard Contractual Clauses (SCCs) or equivalent safeguards to ensure your data remains protected to UK GDPR standards.
How long we keep your data
- Active client records — retained for the duration of the engagement and for 6 years after our last contract, in line with the Limitation Act 1980.
- Enquiry records (non-clients) — retained for up to 3 years from our last contact, after which they are deleted.
You can ask us to delete your data at any time — see Your rights below.
Cookies
Cookies are small files a website can store on your device. This site keeps them to a minimum and groups them into two types.
Strictly necessary cookies
These are required for the site to work and don't need your consent. Netlify, which hosts this site and processes form submissions, may set a strictly necessary cookie to handle and protect form submissions. On the booking page, Cal.com sets cookies needed to run the scheduling tool when you arrange a call. These don't track you for advertising.
Analytics cookies (consent required)
I use Google Analytics (GA4) to understand how visitors use the site — which pages are read, roughly where visitors come from — so I can improve it. This is the only non-essential tracking on the site.
No analytics cookies are set until you accept them. When you first visit, a banner asks you to choose. Google Analytics is loaded with consent denied by default, so no analytics cookies are stored unless you click Accept. If you click Reject, analytics stays off.
| Cookie | Purpose | Expiry |
|---|---|---|
_ga, _ga_<id> | Google Analytics — distinguishes visitors and sessions (only set after you accept) | Up to 2 years |
You can change your choice at any time using the Cookie settings link in the footer, or by clearing this site's cookies in your browser. Your preference is remembered on your device so you're not asked on every visit.
Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Correct any inaccurate data
- Delete your data (the "right to be forgotten")
- Restrict how we process your data in certain circumstances
- Object to processing based on legitimate interests
- Portability — receive your data in a portable, machine-readable format
To exercise any of these rights, email josh@ardastudio.uk. We will respond within one calendar month.
How to complain
If you are unhappy with how we have handled your personal data, you can contact the Information Commissioner's Office (ICO):
- Website: ico.org.uk
- Helpline: 0303 123 1113
We would always prefer to resolve any concern directly first — please do get in touch before escalating.
Changes to this policy
We may update this policy from time to time. The "last updated" date at the top of this page will reflect any changes.
